Microsoft Office Online Server Retirement

Effective December 31, 2026, Microsoft will retire Office Online Server (OOS). After this date, OOS will no longer receive security updates, bug fixes, or technical support. Organizations using OOS should begin planning their transition to supported alternatives, such as Microsoft 365, to avoid security and compliance risks. This change reflects Microsoft’s shift toward cloud-first productivity solutions.

What is Office Online Server?

Office Online Server (OOS) is an on-premises server that enables organizations to host web-based versions of Microsoft Office applications – Word, Excel, PowerPoint, and OneNote – within their own data centers. It allows users to view and edit documents directly in a web browser without relying on Microsoft’s cloud infrastructure.

OOS is commonly used by organizations with strict data residency or compliance requirements, such as government agencies or regulated industries. It integrates with SharePoint Server, Exchange Server, and Skype for Business Server to provide browser-based document access and editing.

Key Features

  • Browser-Based Office Apps: Access and edit Word, Excel, PowerPoint, and OneNote documents via a web browser.
  • On-Premises Hosting: All data and services remain within the organization’s infrastructure.
  • Real-Time Collaboration: Multiple users can edit documents simultaneously.
  • Integration: Seamless compatibility with SharePoint Server, Exchange Server, and Skype for Business Server.
  • Familiar Interface: Offers a user experience similar to Office for the Web.

Licensing

Office Online Server (OOS) is included with qualifying Office licenses, such as Office Standard or Office Professional Plus.

Key licensing points:

  • Viewing documents via OOS is free for all users.
  • Editing documents requires a licensed Office suite with active Software Assurance or a Microsoft 365 subscription.
  • External users can view or edit documents without needing their own Office license.

As OOS approaches retirement, organizations should assess their licensing needs for alternative solutions. For tailored guidance, consult with our licensing experts at SCHNEIDER IT MANAGEMENT to ensure compliance and optimize your transition strategy.
